Market leaders in the region who focus on video<br \/>\nmeetings are also seeing tangible benefits, including more time with their<br \/>\ncustomers and effective message delivery for field teams.<\/p>\n<p>European pharma companies have embraced <a href=\"\/eu\/resources\/veeva-hcp-360-trends-report\/\">digital (and reverted to inperson) channels at different rates<\/a>. What was a necessity during the pandemic has now become a choice. Commercial operations leaders will need to decide the<br \/>\nrole hybrid engagement should have in HCP-rep interactions.<\/p>\n<p>This White Paper offers three steps for pharma companies to convert their<br \/>\ndigital capabilities into a competitive advantage: generating new channel<br \/>\ninsights, enriching customer profiles with data, and changing the approach<br \/>\nto field plans. By using data more efficiently, companies could reduce their IT<br \/>\nspend and enhance customer satisfaction. A simplified, integrated approach<br \/>\nto CRM in their field strategies would also boost agility.<\/p>\n<h2>Leaving behind the manual approach <\/h2>\n<p>Field teams are often the number one spend item in commercial life sciences, and<br \/>\nmaximizing return on this investment is critical.<br \/>\n Embedding omnichannel<br \/>\nexcellence\u2014a seamlessly integrated customer experience across distinct<br \/>\ntouchpoints\u2014within the organization can help overall business performance:<br \/>\nfor example, by improving customer engagement and productivity.<\/p>\n<p>Most pharma companies have access to many tools and a digitally enabled<br \/>\nfield force, but back-end processes are often a stumbling block. It\u2019s important<br \/>\nto measure past performance to inform field plans but it\u2019s not always<br \/>\nstraightforward. For example, field teams struggle to access consistent, timely,<br \/>\nand accurate data. Some lack the capability to measure KPIs or are not trained<br \/>\nto analyze data.<\/p>\n<p>Field forces also rely heavily on manual solutions, particularly spreadsheets.<br \/>\nAlthough helpful for some elements of team coordination, they are inefficient<br \/>\nand fail to provide a single view of either field activity or customer interactions.<br \/>\nThe manual approach to planning is a lose-lose, burdening teams like IT and<br \/>\ncommercial operations while increasing time out of the field for reps and<br \/>\nsales directors.<\/p>\n<p>Rather than improve efficiency or accuracy, the manual approach adds layers<br \/>\nof complexity just to keep information current. Reps cannot be sure they have<br \/>\nthe latest territory information, resulting in more time spent on field planning<br \/>\nthat could be focused on customers. As they are standalone tools by design<br \/>\nand highly tailored to the needs of each organization, it can be difficult to<br \/>\nintegrate spreadsheets with CRM tools that track field activity.<\/p>\n<p>Conversely, a digitally enabled commercial operations team can shorten cycle<br \/>\ntimes and collaborate efficiently with the field. If reps are sick or off work,<br \/>\nteams can quickly move the roster to cover vacancies. If they are working on<br \/>\nCRM-integrated solutions, they can update resource allocations within the<br \/>\nsoftware at the click of a button.<\/p>\n<p>By leaving behind the manual approach, field forces gain access to a goldmine<br \/>\nof customer insights that they would otherwise struggle to use.<\/p>\n<h2>Reach and frequency are no longer enough <\/h2>\n<p>The old model of field planning was built on reach and frequency. Pharma<br \/>\ncompanies assessed reps based on their outbound activities\u2014such as the<br \/>\nnumber of HCPs they managed to visit in a given month and how many times they<br \/>\ncontacted each one.<\/p>\n<p>These measures are a helpful estimate of rep productivity. But they overlook other<br \/>\nindicators that reflect the quality of those touchpoints\u2014the duration of the meeting,<br \/>\nfor example, or progress in the customer journey.<\/p>\n<p>The reach and frequency model is still relevant for many pharma companies<br \/>\nplanning their sales, but is it sufficient to move the dial on customer engagement?<br \/>\nIn the hybrid era, field forces must be empowered to identify the right journey and<br \/>\nchannel mix for each HCP.<\/p>\n<p>The opportunity of doing things differently is significant. <a href=\"\/eu\/resources\/veeva-hcp-360-trends-report\/\">The ³Ô¹Ï±¬ÁÏ Pulse Field<br \/>\nTrends Report<\/a> shows that video meetings are more impactful than traditional calls<br \/>\nor in-person meetings as they facilitate longer, deeper conversations centered on<br \/>\ncompelling content <strong>[Figure 1]<\/strong>.<\/p>\n<p>Calls using closed-loop marketing (CLM) are twice as effective at driving<br \/>\npromotional response than those without. This is because CLM allows reps to<br \/>\ncapture real-time feedback from HCPs during their meetings, which they can later<br \/>\nintegrate into CRM software. CLM is even more effective when combined with<br \/>\nremote channels.<sup>1<\/sup><\/p>\n<p>Commercial operations can improve field effectiveness by showing reps how to use<br \/>\nthe available insights to determine the best next actions. These insights set the baseline<br \/>\ntoday by addressing fundamental questions. Are all markets equal in their adoption<br \/>\nof multichannel engagement? By<br \/>\nbenchmarking against industry peers, it is possible to pinpoint a performance gap<br \/>\nin the use of approved certain channels where share of voice may be muted.<\/p>\n<p>As you manage change and disruption in parallel, you need actionable<br \/>\nperformance insights to boost effectiveness in field enablement. By using<br \/>\nindustry-level data on field engagement activity, you can compare company<br \/>\nperformance relative to leaders in each market.<\/p>\n<h3>Step 2: Build data-led customer profiles<\/h3>\n<p>Once equipped with channel performance data, the next step is to deepen your<br \/>\nunderstanding of individual HCP preferences. Sophisticated insights empower<br \/>\nyou to tailor the approach for each customer.<\/p>\n<p>Field planning that relies on basic profiling\u2014whether your customer is an early<br \/>\nadopter, for example\u2014is unlikely to advance the strategy. Instead, enrich your<br \/>\napproach by layering CRM data onto the existing customer segmentation. Start by<br \/>\nseeing if you can answer these questions:<\/p>\n<ul>\n<li>What are my customer\u2019s overall channel affinities?<\/li>\n<li>Are they more likely to attend a live conference or virtual event?<\/li>\n<li>At which touchpoints do they prefer in-person meetings vs. video calls?<\/li>\n<\/ul>\n<p>Some companies will be able to mine more than 10 years\u2019 worth of data from<br \/>\ntheir CRM systems to refine their targeting strategies. Create new customer<br \/>\narchetypes by incorporating axes such as channel affinity (e.g., live events, faceto-face, approved email). These archetypes can be built by assessing past activity<br \/>\ndata (e.g., call logs, email open rates) and surveys. Assign each customer to a<br \/>\nprofile by using questions like:<\/p>\n<ul>\n<li>Which CLM slides have been represented to this customer?<\/li>\n<li>For how long was each slide presented?<\/li>\n<li>How has this customer interacted with our content over time?<\/li>\n<\/ul>\n<p>Through this assessment, you\u2019ll learn how your customers prefer to interact with<br \/>\nyour field teams, depending on where they are in the journey with your company.<br \/>\nYour archetypes then help you scale insight for your field force, so it is easier to<br \/>\noptimize the overall channel mix for the highest possible promotional response.<\/p>\n<h3>Step 3: Execute a multichannel field plan<\/h3>\n<p>Once your field forces are armed with granular channel insights and relevant<br \/>\ncustomer profiles, they are well-positioned to act on multichannel field plans.<\/p>\n<p>Being truly multichannel means realizing digital is not an add-on but a critical<br \/>\ntool for field forces to be more efficient and effective. For some pharma<br \/>\ncompanies, this will require a shift in how sales plans are viewed internally.<\/p>\n<p>Sales plans are often used as proxy performance tracking tools that determine<br \/>\nthe field force\u2019s efficiency. This could be counter-productive: for instance, by<br \/>\nencouraging reps to revert to the channels that they are most experienced and<br \/>\nconfident using rather than the most appropriate one for each customer.<\/p>\n<p>Field teams will feel empowered if they are given a plan that helps them execute<br \/>\nin a sophisticated way, at scale. Even reps responsible for small territories will<br \/>\nhave too many HCPs to independently determine the most effective approach<br \/>\nfor each customer. This is where CRM data can help teams get to a granular<br \/>\nlevel of planning.<\/p>\n<p>Instead of a rigid annual sales plan, shifting to shorter plans (even at a monthly<br \/>\ncadence) could help your teams define the right set of activities for each<br \/>\ncustomer based on the last interaction. In a scenario where the HCP in question<br \/>\nhas published a paper or presented at an event, you will want to adjust your<br \/>\napproach as quickly as possible. Don\u2019t let legacy technology and a rigid plan be<br \/>\nlimiting factors.<\/p>\n<p>Finally, data is only useful if it is representative and actionable. Context matters<br \/>\nto understand the \u2018why\u2019 behind the next action, so input from the field force is<br \/>\nessential. For instance, a rep might know from visiting an HCP that they struggle<br \/>\nto keep on top of their inbox, so an approved email is not the best strategy. That<br \/>\nqualitative feedback has to be captured and quickly incorporated into field<br \/>\nactivity plans.<\/p>\n<h2>Full speed ahead<\/h2>\n<p>LEO Pharma, a Danish pharmaceutical company and a global leader in medical<br \/>\ndermatology, set high expectations when preparing to launch its blockbuster<br \/>\nproduct. As it was competing against a top 10 pharma company, the team decided<br \/>\nto assess its system and process readiness for a successful launch.<\/p>\n<p>The company discovered 26 different CRM systems in use across affiliates,<br \/>\nundermining visibility into local field activities and resources.
